FAQ’s for End User
Ans. ProHance is a performance improvement tool that will give you insights into your time utilization and work efficiency. You will have access to your data to review and reflect on where you spent your time, how your time is being utilized and how it can be managed better to improve your work life balance.
Ans.No, ProHance respects data privacy and does not capture any sensitive information like passwords, biometrics, gender, financial information, medical records and history etc.
ProHance is a non-intrusive desktop tracking solution and has no impact on user’s work on his system.
Ans. ProHance reports on application usage and does not collect keystrokes, form input, or anything nefarious. The records persisted include the application process name, window title, start time of use, end time of use, and username (login id – authenticated user on the system). ProHance does not record any data that is within an application window (content) such as text or form data except for the window title. ProHance does not capture screens or record or store any key-stroke data.
Ans. Yes, ProHance provides “Personal Mode” option to allow users to switch to this mode when they are involved in any personal activities on the system. While on this mode, no information of the employee will be captured. Please note that this feature is permission controlled and decision to activate is taken by your organization.
Ans. By setting the “Suspend mode” in ProHance, you can suspend ProHance for a pre desired duration and use your laptop/desktop at home for personal use while not at work.
Ans. Your data will be accessible to only you.
Ans. No, ProHance is a complete non-intrusive application that doesn’t restrict access to any tool/website on your system.
Ans. Prohance captures the time spent on active window irrespective of the number of screens and applications you are on.
Ans. No, you can always mark a leave in the timesheet tab within Prohance and the day will be discounted from your working days however the time you spent will be added to your utilization.
Ans. Prohance provides complete transparency to the user and you will be able to see all the data as well as average numbers for the team by clicking on Prohance Dashboards. Your manager will not have access to your data
Ans. You can check if you have enough activities and responsibilities however, if you see that you are underutilized consistently then you can have a discussion with your supervisor to increase your responsibilities. You can also leverage the time available to learn new skills
Ans. You can bring it to the notice of the supervisor or the designated point of contact for your process for Prohance.
Ans. Prohance captures time on system automatically however it will prompt you to classify your time away from the system into customizable categories like meetings, breaks, trainings etc.
Ans. No, Prohance starts capturing time automatically the moment you login into your system (Desktop / Laptop).
Ans. Yes, for data to be synced to the Prohance server it is advised that you connect through VPN. However, in case you are unable to connect the ProHance will continue capturing the data and it will be synced to the server once you are connected to the VPN.
Ans. Prohance captures the screen title of the active window or application along with the associated time, which is further classified in to Productive/Non-Productive/No impact etc. as per project requirement. Given below is a high-level classification for different categories.

Ans. ProHance will capture the activity under VDI or VM etc. and classify as productive.
Ans. The meetings can be captured on AAFS pop up and classified under productive as time away from system. Also, outlook is synced with Prohance ProHanceand will throw a pop up for that particular meeting.
Ans. Yes, if the outlook is synced with ProHance, it captures the meeting time scheduled in outlook and throws a pop up to capture the details if the meeting is taken away from the system
Ans. Prohance starts capturing the data from the first login till the last log out. The in between break would be captured through AAFS pop up and categorized as break or meetings etc. and will be captured under time away from system. However, if user logs off for > 4 hours in a day then it will not reflect in the logged hours in that day
Ans. No, ProHance will not be used for performance ratings. The tool would be used as a mechanism for self-governance, wherein the user will have access to their own data.
Ans. Yes, all the internal apps have been classified as productive.
Ans. Prohance will capture data if an individual works on a weekend. However, you can choose ‘Personal Mode’ if you don’t want any data to be captured on a holiday. Remember to switch back to ‘Normal Mode’ by clicking on the “Personal Mode’ again.
Ans. The tool has a separate module for capturing Work Output and that will be configured in the next 8-12 weeks based on the business requirements of different teams
Ans. No, communication tools have been classified as productive and any time spent on the collaborations will be captured as productive
Ans. Yes, all business-related web application will be classified under Productive.
Ans. No, ProHance is not deployed on any mobile devices. The installation covers only CLIENT systems (Desktops and Laptops only)
Ans. Yes, the meetings taken on CLIENT systems will be classified under productive. In case, they are taken over the phone the user can capture it over TAFS.
Ans. No, current scope covers only CLIENT systems for Prohance installation.
Ans. CLIENT leadership has made an exhaustive list of applications/activities across organization which have been configured as productive. There are activities like MS Suite, internal tools etc. also all applications and productive browsing specific to different teams, have been configured as productive on ProHance. In case of there is some application, browsing and research, which is going under unknown or unproductive but should be mapped to productive, there is an SOP to be followed to get it remapped, please reach out to your leads for the same. The configuration can be done separately for different groups or projects. However, it cannot be done differently by user.
Ans. PFB the logic for idle time calculation on ProHance.
Key callouts –
- The time break up is as per the threshold value configured for CLIENT
- The above scenario is if you were inactive on your system and then the system is locked
- In case you are active on your system and lock it and go away for any activity then ProHance starts capturing idle time from the moment you lock your system till you log back in before 15 minutes.
- Sometimes there may be a delay in data getting updated on all dashboards as the data gets flushed into the central server at an interval of 60 mins
Ans.ProHance captures data when you are logged through VPN. However, if the user is using a client VPN, in some scenarios where client has not white labeled Prohance, the data may get updated real time in dashboards. Though it will get updated once the user comes out of VPN. The active window for data capture, if you are working on multiple applications it will capture the window you are active and categorize it as per classification
Ans. YouTube is currently classified into Non- Productive. In case it is being used for learning you can reach out to your leads to categorize certain URLS being used for learning, into Productive.
Ans. ProHance captures the active window, therefore it will capture the active window you are working on, in case there is a switch in between then it will capture the other window you switch to.
Ans. No ProHance does not capture any personal data/passwords etc. It will take the active window name and the associated time.
Ans. ProHance captures the data at any time you are logged into the system. It may categorizes the data captured after shift hours under Non-work shift however, the data capture and categorization of activities happens as usual.
Ans. If you lock your system and don’t log back in till 4 hours. ProHance will take your locking time as the log out time, any login post 4 hrs. of system locking will be treated as a new login. In case you log back in before 4 hours then you will get activity away from system popup and then the time from system locking to the time you log back in will be classified under the activity you categorize on the pop up (meeting, telecon break etc.)
